The Corporate Template Gallery is designed to streamline and standardize email communications across organizations with multiple hotels. This feature allows corporate teams to create and manage approved email templates centrally. These 'corporate templates' are then made available to individual property UpMail accounts via the Corporate Template Gallery.
The Corporate Parent Account is the account used to create the templates within the Corporate Template Gallery. To add a template to the Corporate Template Gallery:
- Create and save the template within the Recommended Templates.
- Either select the ‘Settings’ button within the email composer or select the cog icon on the template preview within the Recommended Template library.
- This will take you to the ‘Edit Template’ page where you can select the Corporate Template Gallery checkbox.
- Once updated, the template will no longer appear within the Recommended Templates. To view and access the template, click ‘Create a template’ and select ‘Corporate Template Gallery’.
When creating Corporate Templates, please note:
- Only the text snippets will copy over exactly as they are within the Corporate Template to other account templates.
- The top banner, email signature, bottom banner and social media icons will be replaced by the settings within the individual property account.
- If an image is set to ‘Handpicked Selection’ the image will transfer over to the individual property account.
- If an image has a recommended tag assigned to it, the recommended tag will transfer over to the individual property account, but the image will not transfer. The 'Replace' image placeholder will appear.
- We recommend adding [[placeholder brackets]] to any text that requires updates (ex. Hotel name, dates, property specific features, etc)
Editing Corporate Templates
Once a Corporate Template has been created, it can be edited by clicking on the template within the Corporate Template Gallery. This will take you to the email composer where the updates can be made. Once complete, click ‘Save As’, select ‘Recommended Template’ and the ‘Create or copy over’ button.
Please note that while the template will be updated within the Corporate Template Gallery, these updates will not be reflected in any individual property accounts that have already imported the template.
